Recruitifie, Inc. ("Recruitifie," "we," "us," or "our") operates the platform at recruitifie.com. This Privacy Policy describes how we collect, use, disclose, and safeguard your information when you use our platform.

1. Information We Collect

1.1 Information You Provide Directly

  • Account registration data: first name, last name, email address, password
  • Profile data: professional title, biography, skills, work history, education
  • Resume/CV files you upload (PDF, DOCX, and similar formats)
  • Contact information: phone number, address (optional)
  • Payment details: billing address, card metadata (card number processed by Stripe — we do not store raw card data)
  • Communications: messages you send to other users or our support team
  • Content you submit: job postings, application materials, reviews, feedback

1.2 Information Collected Automatically

  • Usage data: pages visited, features used, clicks, search queries, time on site
  • Device and technical data: IP address, browser type, operating system, device identifiers
  • Cookies and similar tracking technologies (see Section 6)
  • Log data: server logs, error reports, performance metrics
  • Location data: approximate geographic location derived from IP address

1.3 Information from Third Parties

  • OAuth providers (Google, LinkedIn): name, email, profile photo when you sign in via these services
  • Payment processors (Stripe): transaction status, billing confirmations
  • Public professional data you import (LinkedIn profile with your explicit consent)

2. How We Use Your Information

We use the information we collect for the following purposes:

  • Platform operation: creating and managing your account, processing applications, facilitating interviews and offers
  • AI-powered job matching: your profile, skills, and preferences are processed by our AI systems to generate job recommendations and candidate rankings
  • Resume processing: uploaded resumes are parsed and stored to power ATS compatibility checks and recruiter searches
  • Communications: transactional emails (account confirmations, application updates), platform notifications, and — with your consent — marketing communications
  • Payments: processing subscription fees and refunds via Stripe
  • Safety and fraud prevention: verifying identities, detecting abuse, enforcing our Terms of Service
  • Product improvement: analytics, A/B testing, and feature development
  • Legal compliance: responding to lawful requests and complying with applicable regulations

3. Third-Party Sharing and Disclosure

We do not sell your personal information. We share data only in the following circumstances:

Service Providers

We engage the following third-party processors who handle data on our behalf:

  • Stripe — payment processing and billing management
  • Google Analytics / Mixpanel — usage analytics and product telemetry
  • Resend / SendGrid — transactional and marketing email delivery
  • Railway / AWS — cloud infrastructure and data hosting
  • OpenAI / Anthropic — AI processing for resume analysis, job matching, and content generation

Recruiter Access

When you apply to a job or make your profile searchable, your profile information, resume, and application materials are shared with the relevant recruiter or employer.

Legal Requirements

We may disclose data when required by law, subpoena, court order, or when we believe disclosure is necessary to protect rights, safety, or to respond to a government request.

Business Transfers

In the event of a merger, acquisition, or sale of assets, your data may be transferred. You will be notified via email and a prominent notice on our platform prior to any such transfer.

4. AI Processing Disclosure

Your resume, profile data, and application materials may be processed by artificial intelligence systems to generate job recommendations, resume quality scores, candidate rankings, and career guidance. AI outputs are not final decisions — human review is always possible. You may opt out of AI-enhanced features in your account settings without losing access to the core platform.

5. Cookies and Tracking Technologies

We use the following categories of cookies:

EssentialRequired for platform functionality (authentication tokens, session management). Cannot be disabled.
AnalyticsHelp us understand how users interact with the platform (Google Analytics, Mixpanel). Can be disabled.
PreferenceRemember your settings, language, and UI preferences. Can be disabled.
MarketingUsed to track effectiveness of campaigns and deliver relevant ads. Can be disabled.

You can manage cookie preferences through your browser settings or our cookie preference center. Opting out of analytics cookies does not affect platform functionality.

6. Your Rights (GDPR — EEA/UK Users)

If you are located in the European Economic Area or United Kingdom, you have the following rights under the General Data Protection Regulation (GDPR):

Right of Access

Request a copy of all personal data we hold about you.

Right of Rectification

Correct inaccurate or incomplete personal data.

Right to Erasure ("Right to be Forgotten")

Request deletion of your personal data, subject to legal obligations.

Right to Data Portability

Receive your data in a machine-readable format (JSON/CSV).

Right to Object

Object to processing for direct marketing or legitimate interest purposes.

Right to Restrict Processing

Request temporary restriction of processing while a dispute is resolved.

To exercise any of these rights, contact us at privacy@recruitifie.com. We will respond within 30 days. Our legal basis for processing is: consent (marketing), contract performance (platform services), legitimate interest (security/analytics), and legal obligation (compliance).

7. California Privacy Rights (CCPA)

If you are a California resident, the California Consumer Privacy Act (CCPA) provides you additional rights:

  • Right to Know: Request disclosure of the categories and specific pieces of personal information we have collected in the past 12 months
  • Right to Delete: Request deletion of personal information, subject to certain exceptions
  • Right to Opt-Out of Sale: We do not sell personal information. You may still submit a "Do Not Sell My Personal Information" request at privacy@recruitifie.com
  • Right to Non-Discrimination: We will not discriminate against you for exercising any of the rights described above

9. Data Security

We implement industry-standard security measures including TLS/HTTPS encryption in transit, AES-256 encryption at rest, access controls and role-based permissions, regular security audits, and two-factor authentication options. No system is 100% secure. We maintain an incident response plan and will notify affected users within 72 hours of discovering a data breach that poses a risk to your rights and freedoms, as required by GDPR.

10. International Data Transfers

Our servers are located in the United States. If you are located outside the U.S., your information may be transferred to, stored, and processed in the U.S. where our cloud infrastructure is hosted. For EEA/UK transfers, we rely on Standard Contractual Clauses (SCCs) approved by the European Commission as the legal mechanism for such transfers.

11. Children's Privacy

Recruitifie is not directed to individuals under 16 years of age. We do not knowingly collect personal information from children. If we learn that we have inadvertently collected data from a child under 16, we will delete that information promptly. If you believe we have collected such data, contact us at privacy@recruitifie.com.

12. Changes to This Policy

We may update this Privacy Policy periodically. When we make material changes, we will notify you by email and post a prominent notice on our platform at least 30 days before changes take effect. Continued use of the platform after the effective date constitutes acceptance of the updated policy.
